This policy explains how Arenzyra handles account, organizer, tournament, Discord, OCR, and broadcast workflow data.
Information We Collect
Arenzyra may collect application details such as your name, organization name, email address, optional WhatsApp number or Discord username, and message. If you are approved, we may also collect account details, login/session data, tournament configuration, team and player information, Discord IDs and channel settings, uploaded images, OCR result screenshots, sponsor assets, widget configuration, and operational logs needed to run the service.
How We Use Information
We use information to verify the email address supplied with an application, review access requests, provide organizer workspaces, manage tournaments, run match control, review OCR uploads, publish widgets, operate Discord workflows, secure accounts, troubleshoot issues, improve reliability, and communicate about platform access.
Application and Account Setup
Submitting an application does not create an account. We send a time-limited verification link to the email address you provide and review only applications whose email address has been verified. If an application is approved, the organizer receives a separate single-use setup link and chooses their own password. Do not send passwords, payment details, identity documents, or other sensitive information in the application message or through social contact channels.
Application Email Delivery
When applications are available, Arenzyra and its transactional email provider process your email address and limited delivery records to send verification, review, and account-setup messages. A queued message may temporarily contain an encrypted copy of its one-time link so the same message can be retried safely. The encrypted link content is removed after delivery acceptance, cancellation, permanent failure, or expiry. Delivery acceptance by the email provider does not guarantee that a message reached your inbox.
Tournament and Player Data
Organizers are responsible for making sure they have the right to provide team names, player names, PUBG MOBILE identifiers, Discord details, logos, screenshots, and other tournament materials. Arenzyra processes this data to support the event workflows configured by the organizer.
OCR Uploads and Broadcast Assets
Screenshots and uploaded images may be processed to extract match results, player kills, slot information, or broadcast assets. Do not upload confidential, unrelated, or sensitive personal documents into OCR or media workflows.
Discord and Third-Party Integrations
When Discord is connected, Arenzyra may store and use guild IDs, channel IDs, role IDs, message IDs, registration data, result-posting settings, and related workflow metadata. If you contact Arenzyra through WhatsApp, Discord, or Instagram, information you send is also processed by that service under its own terms and privacy policy. Use the application form, rather than a social message, for an official access request.
Sharing and Service Providers
We do not sell personal information. We may share or process data with hosting providers, databases, storage, analytics, communication tools, Discord, or other service providers needed to operate Arenzyra. We may also disclose information when required by law or to protect the platform, users, or event integrity.
Security
We use reasonable technical and organizational measures to protect accounts, application data, and production workflows. No online service can guarantee absolute security, so users should protect credentials, limit access to trusted staff, and report suspicious activity quickly.
Retention
If you submit an organizer application but never verify its email address, the application is eligible for hard deletion seven days after the latest verification activity. Requesting another verification email restarts that period. This short period does not apply after the email is verified or the application is reviewed or approved, and automatic deletion may be withheld for security, anomaly, dispute, or legal-hold review. Verified application, account, event, audit, and limited email-delivery records may be kept longer where needed to review the request, provide the service, prevent abuse, meet legal obligations, or resolve disputes. Deleted data may remain in restricted encrypted backups until their configured rotation expires; applicable deletions must be re-applied if a backup is restored.
Children and Minors
Arenzyra is intended for tournament organizers, operators, admins, and production staff. Organizers are responsible for complying with age, eligibility, consent, and player-data requirements for their events and regions.
Your Choices
You may contact us to request access, correction, export, or deletion of information associated with your account or organization. Some records may need to be retained for security, legal, payment, or event integrity reasons.
Changes to This Policy
We may update this privacy policy as Arenzyra changes or as legal requirements evolve. The effective date above shows when this policy was last updated.
